Capacity

Venues routinely overstate capacity. Get the dinner-and-dancing number, not the fire code.

• What is the comfortable seated capacity for a dinner-and-dancing format? Not fire code. Not cocktail-party maximum. Seated dinner with a dance floor reserved.
• Can you show me a floor plan with tables set for our guest count plus a dance floor? If they can't produce this during a tour, ask for it before signing anything.
• Is the capacity the same if we add a photo booth, gift table, or bar station? Every addition eats floor space. Make sure the layout accounts for your actual setup.

Audio / Visual

Inadequate A/V is one of the most common — and least-discussed — ways a reception fails.

• What A/V equipment is included in the rental? Speakers, microphones, mixing board, projector, screen — get a specific list.
• Is there a house sound engineer, or do we need to hire one?
• What is the policy on outside A/V companies and equipment? Some venues require using their own A/V vendor. Know this before hiring a DJ or band.
• Where are the speaker positions? Is there a dedicated stage or riser area?
• What is the noise curfew, and how is it enforced? Is this a hard cutoff or a decibel limit? What happens if you go over?
• Are there rigging points for lighting or draping?

Catering

Catering policy determines your flexibility more than almost anything else in the contract.

• Is outside catering permitted? If not, is there a preferred vendor list or strictly in-house only?
• If there's a preferred vendor list, how many caterers are on it? A list of 3 is very different from a list of 15.
• What is the kitchen situation — full prep kitchen, warming only, or none?
• Is there a separate catering load-in entrance?
• What are the bar policies — cash bar, open bar, BYOB, or licensed vendor required?

Timing & Access

The details most couples miss until they're in the contract.

• When is the earliest vendors can access the space for setup? Florists and caterers often need 4–6 hours before guests arrive.
• What time must all vendors be fully loaded out by? Not when the event ends — when the last vendor must be out the door.
• Are we the only event at the venue on our date? If not, how are spaces divided and is there any shared access?
• What is the overtime rate if we run late?
• Is there a venue coordinator on-site during the event? What exactly is their role — logistics only, or full day-of coordination?

Vendor Policies

Restrictions you discover after booking are the most frustrating kind.

• Are all outside vendors subject to approval? Some venues require vendors to be pre-approved or carry specific insurance minimums.
• What are the policies on outside décor, floral installations, and candles?
• Is there a preferred or required list for any other vendor category? Some venues require you use their bar staff, security, or AV company.
• What is the policy on live bands specifically? Some venues restrict live amplified music or have strict stage configurations.

Guest Logistics

• What is the parking situation for guests? On-site, nearby lot, or street only? What does it cost on a weekend evening?
• Is there a designated rideshare pickup/dropoff area?
• Is the venue ADA accessible?
• Are there nearby hotels for out-of-town guests? Does the venue have a relationship with any nearby hotel for room blocks?

What's Included

Two venues at similar price points can include radically different things.

• What furniture is included — tables, chairs, linens?
• What lighting is included? Overhead only? Pin spots? Uplighting? Dimmers?
• Is there a bridal suite or private prep space included?
• Is setup and breakdown included, or is that a separate fee?

Contract & Terms

Read the contract before the tour ends, not after you've fallen in love with the space.

• What are the cancellation terms? How much is refundable and at what point? Is there a postponement clause?
• What is the deposit amount and payment schedule?
• Is there a food and beverage minimum? Common at hotel venues. Can significantly change the true cost.
• What is the venue's liability and insurance requirement for events?
• What happens if the venue has to cancel — renovation, sale, force majeure?

Before You Leave the Tour

• Ask to see the space in the configuration closest to your event Tables set, dance floor reserved. Not empty.
• Ask who your specific day-of contact will be Not just "a coordinator" — a named person and how to reach them.
• Ask for references from couples who held receptions at your guest count
• Get the full contract to review before committing — not at the meeting Any venue that pressures you to sign on the spot is a red flag.
